REPORT IN A TIMELY MANNER

If you think you may have a loss, contact your agent immediately.  Policy provisions require you to report a claim within 72 hours after discovery of damage, but not later than 15 days after the harvest of the unit or the end of the insurance period.  

Please complete production reports as soon as possible after harvest.  

All acres and production for crops listed on the policy (insurable and uninsurable) must be reported.  Failure to comply will result in assigned yields penalties to the policy.  

PREPARE FOR A CLAIM OR FUTURE  PRODUCTION REVIEW WITH ACCURATE RECORD KEEPING

Keep scale tickets and settlement sheets organized by unit.  These are often called hard records.  

A producer may use soft records such as load logs or monitor records to divide out production by unit from settlement sheets or bin measurements.  

Retain all records supporting planted acreage and production.  Keep all hard and soft records in a safe place for production reviews. 

Insureds planning to feed livestock from their production should have their bins measured by an adjuster before they begin feeding to avoid cumbersome livestock feeding record requirements.

AFLATOXIN AND OTHER QUALITY ADJUSTMENTS

Contact your agent at the first sign of any grain quality issues.

Some mycotoxins like aflatoxin will require samples to be taken from the field by an adjuster.  

CHOPPING, BALING OR ABANDONING CROPS

Approval must be granted by the crop insurance company before a producer can chop, bale, or abandon their crop.  Failure to receive approval could result in a loss of the claim.  

REVENUE CLAIMS

Keep accurate production records separated by unit to prepare for a potential claim.

Claims with a revenue only loss must be filed within 45 days following the announcement of harvest prices. 

COMMINGLING PRODUCTION

Commingling grain from several units requires a bin marking or load log to document production per unit. Before commingling grain between counties or with another entity a producer must receive permission from an adjuster.

Insureds that plan to commingle new production with grain from a previous year, should contact their agent before harvest begins to have the bin measured.
